How it works
At the point of cutoff or when the official block is sold out, aRes Travel provides a dedicated toll free number and a link to the reservation website for placement on the conference housing details page. The consumer selects the hotel that best suits their needs. The aRes Travel Central Reservation Call Center is open Monday-Friday, 6am-11pm, Saturday 7am-10pm and Sunday 8am-9pm Pacific Time and the reservations link is available for your attendees 24/7.
Data from any further reservations are captured for you to track bookings, allowing you to ensure you meet your contract obligations. At any point during the reservation process, a rooming list can be accessed with the reservation booked date, reservation status, arrival date, departure date, guest name, room nights, and hotel. At the conclusion of the conference, aRes Travel supplies a day-by-day pick up by hotel.
What You Need to Request Group Housing Service
Once the group is approaching your negotiated cutoff date or as the contracted hotel blocks are selling out, contact aRes Travel to request our reservation service.
To create the web link, the following information is needed:
- Name of Convention
- Identify main attractions – local zoos, amusement parks, museums, etc.
- Identify hot spots – family areas, nightlife, sightseeing, conventions area, and top 10 points of interest
- High and low seasons
- Use of an area map
- Important phone numbers for visitors
Once aRes Travel has this information, we supply the dedicated toll-free number and web link for the individual group. This process normally takes five (5) business days but can be expedited as needed.
